Records/Services

Transcript Request Information

Transcripts must be requested in writing by the student. If you are a current student you may log in to Today@Dean and click on “transcript requests” under Essential Links on the right side of the page. If you graduated from Dean prior to 1994, then you must complete the Transcript Request Form. If you graduated after 1994, then you may order your transcript online. Electronic transcripts will be distributed for a fee of $6, and print transcripts will be distributed for a fee of $10.

Enrollment Verifications (Current Students) 

Current Dean College students with Social Security numbers can obtain instantaneous enrollment verifications for FREE through the College portal Today@Dean. Students without Social Security numbers can only obtain an Enrollment Verification from the Center for Student Administrative Services located in Dean Hall.

Enrollment Verifications (Former Students) 

Dean College has authorized the National Student Clearinghouse to act as the agent for providing enrollment verifications. Please call the Clearinghouse at 703-742-4200 or visit http://www.studentclearinghouse.org/

Confidentiality of Records

Dean College complies with all of the requirements of the Family Educational Rights and Privacy Act (FERPA). Students have the right to inspect any and all official records, files and data directly related to them, with certain exceptions such as financial records of students' parents and/or information to which the student has waived her/his right of access. Credit Hour

A credit hour is an amount of work represented in intended learning outcomes and verified by evidence of student achievement that is an institutional established equivalence that reasonably approximates not less than: 

  • One hour of classroom or direct faculty instruction and a minimum of two hours of out-of-class student work each week for approximately fifteen weeks for one semester or trimester hour of credit, or ten to twelve weeks for one-quarter hour of credit, or the equivalent amount of work over a different amount of time; or
  • At least an equivalent amount of work as required in paragraph (1) of this definition for other academic activities as established by the institution including laboratory work, internships, practica, studio work, and other academic work leading to the award of credit hours.

Parent Access to Student Information

Parent Access to Student Information Instructions are available for a student to grant parents or guardians access to the student's financial and academic records.

Voter Registration

As a part of the Higher Education Amendment, Dean College must provide students with the opportunity to register to vote. Accordingly, to request a mail-in voter registration form, visit the Massachusetts state website.

Please note that students cannot register to vote via the Internet, but they can request a voter registration form. Students must fill out the form completely and return it to their city or town hall. Remember that students will not be registered to vote until they return the completed voter registration form to their local city or town hall.

The local clerk will thereafter provide students with acknowledgment of their voter registration. If students do not receive an acknowledgment of their voter registration within a reasonable time, they should check with their local clerk for more information.

Academic Permanent Record

The Office of the Registrar maintains each student’s official academic record. The official record of the student's academic work is stored in the student information system (Colleague) and includes all courses registered, enrolled, dropped, withdrawn, and completed. The external document recording the academic record is known as the official transcript which contains:

  • A record of all completed classes (including transferred to the College and those withdrawn and failed)
  • Course titles
  • Final grades
  • Credits attempted and earned
  • Grade point average for each term
  • An overall grade point average
  • Academic standing and honors for each semester
  • Academic Latin honors applied at graduation
  • Once conferred the degree earned is posted along with majors/minors/tracks earned
